Choose a task or a plan
Share a task when someone needs that piece of work. Share the plan when they need access to its broader work and context. A plan member inherits access to tasks in that plan.
Task-only sharing does not grant plan membership or access to sibling tasks. Selected children need explicit sharing. Review recipients, role, scope, and any selected subtasks before sending an invitation.
Choose the right role
The effective role comes from current ownership, direct access, and inherited plan access. The app shows these sources so you can understand why someone has access.
| Role | Typical access |
|---|---|
| Owner | Manages the resource, access removal, plan lifecycle, and ownership transfer. |
| Editor | Edits work and can invite within their scope. Plan editors can configure plan views and schedules. |
| Commenter | Reads the shared content and participates in discussion; can request invitations. |
| Viewer | Reads the shared content; can request invitations. |
Invite and assign deliberately
Send a named invitation to the person you want to include. The recipient accepts it using the addressed account or verified email. Pending, expired, declined, or revoked invitations do not create active access.
Assigning someone and mentioning them are separate from sharing. If a person needs access, review an explicit invitation. Editors can offer the same or a lower role; ownership transfer is a separate accepted action.
Review access before removing someone
The owner can review collaborator removal and the scopes it affects. Check both inherited plan access and direct task access when changing participation.
A task move, a copied plan, a template, or a shared plan set can change the context you need to review. Check the final access state rather than relying on a copied link, avatar, or past invitation.
